Privacy Policy

1. Who we are

Sprout is a youth-led ground-up initiative providing free tuition and mentorship to students from underprivileged and SEN backgrounds. References to "we", "us" or "Sprout" in this policy refer to the Sprout volunteer team.

2. What data we collect

We collect the minimum data needed to operate the platform:

Account information — name, email address, and (if used) your Google profile picture, provided when you sign up.
Volunteer profile — information you submit during onboarding (e.g. school, availability, experience).
Attendance & service hours — check-in records tied to events you participate in.
Student information — first names and learning notes entered by assigned volunteers, limited to what is needed for tutoring.
Usage data — anonymised analytics (page views, feature usage) via Vercel Analytics. No cookies are used for tracking.

3. How we use your data

To create and manage your volunteer account.
To track service hours and generate service records.
To send transactional emails (event confirmations, QR codes) using Brevo.
To improve the platform through aggregated, anonymised analytics.

We do not sell, rent, or share your personal data with third parties for marketing purposes.

4. Data storage and security

All data is stored in Google Firebase (Firestore) hosted on Google Cloud. Access is restricted to authenticated users and authorised administrators. We use Firebase Authentication for secure sign-in. Data in transit is encrypted via TLS.

5. Data retention

We retain your account data for as long as your account is active. If you request deletion of your account, we will remove your personal data within 30 days, except where we are required to retain records for legal or audit purposes.

6. Your rights

You have the right to:

Access the personal data we hold about you.
Request correction of inaccurate data.
Request deletion of your account and associated data.
Withdraw consent for optional data processing at any time.

7. Cookies

Sprout does not use cookies for tracking or advertising. A session cookie is set by Firebase Authentication solely to keep you signed in.

8. Changes to this policy

We may update this policy from time to time. Material changes will be communicated via email to registered volunteers. Continued use of the platform after changes constitutes acceptance of the updated policy.
